Here’s What You Need to Know to Get Started:
Setting Up Your Physiotherapy Appointment: Before you book your session, we’ll need your Policy number, Authorisation number, and the confirmed number of sessions as agreed upon with your insurer.
Key Information for Insurance Claims: You will need to confirm with your insurance company our clinic codes. You can find these below:
- BUPA: Our universal clinic code for all locations is 80009016.

Maximising Your Insurance Benefits:
For policies with smaller insurance firms, (and for some larger ones like Vitality, and Aviva, or any international providers), we usually will not deal directly with the insurance provider. No worries, though. You can still receive treatment given our CSP and HCPC accreditation. In such cases, you will need to pay upfront for your appointment, but we’ll promptly provide all necessary paperwork for you to claim reimbursement.

Understanding Your Policy’s Excess: Insurance policies usually include an outpatient excess, usually around £100, but this can vary depending on who provides your cover. Due to confidentiality rules, we’re unable to inquire on your behalf and will only learn of any excess fees once they are applied to our invoices.
Billing Simplified: Our administrative team ensures that your insurance company receives the invoice within a day of your consultation. We usually find payment processing can take around 6 weeks. For that reason we will usually hold onto your deposit for 6 weeks and then provided your account has been settled by your insurer and there is no outstanding excess fee we will reimburse you the full amount.
If you would like to receive the deposit earlier please contact our admin team. They can check if your account has been settled by your insurer and again provided there is no outstanding excess charges they will be happy to provide your deposit back.
Your Role in the Process: While we keep track of your sessions, it’s important for you to stay informed about your treatment plan. You’re responsible for any costs not covered by your insurance, and should there be any discrepancies or if the number of sessions exceeds your policy’s coverage, those charges will fall to you. We can use your deposit against these charges if needed, but you may still owe more on top. Our admin team can help if you find you are in this situation.
